How to Use E Files
Hello, my name is Frank Torres and I'm here on behalf of Expert Village. And this segment is all about incorporating the scanning of your e-files into the daily operations of your office. Now, this is the tough part, I find, for a lot of small businesses, is where do you find the time to scan all these documents, and map them, and get everything organized while you're converting to a paperless office. I find, that if you integrate the scanning into the normal flow of information in your office, that you'll be just fine. A lot of companies have file clerks or people designated to do the files on a regular basis. All you have to do is designate this person to run the files - the mail, the hard files - through the scanner. The scanner will take care of the rest and map into a folder of Windows. And then as soon as that person's done actually placing the hard documents into the hard files, they can go back into Windows and just drag and drop all of the documents that they scanned before. The important thing is to just get into the rhythm and to keep up with it. It won't do you any good if your e-files are outdated and not well maintained.
